1. Who we are
REC Enterprises Limited (“REC”, “we”, “us” or “our”) is a Trinidad and Tobago–based provider of intelligent customer communication and business automation solutions under the REC-AI brand. Our services include REC-AI Front Desk, REC-AI Connect, REC-AI Outreach and REC-AI Workflow.

2. Scope and our data roles
This policy applies to personal information processed through our website, business communications, customer onboarding and REC-AI services.
REC acts as a data controller when we determine why and how personal information is used, such as information submitted directly to REC through our website, sales, support or account administration. When we process communications or other personal information on behalf of a business customer, that customer is generally the controller and REC acts as its service provider or data processor. The customer’s own privacy notice may also apply to those interactions.

4. How information is collected
We collect information directly from you, from the business that has engaged REC to provide a service, through authorised communication platforms such as WhatsApp, telephone and SMS, and automatically through normal website and service operation.
5. How we use information
- Provide, configure, secure and support REC-AI services.
- Receive, route and respond to communications and execute customer-approved workflows.
- Capture enquiries, requests, appointments, leads and conversation summaries for the relevant business.
- Authenticate users, manage accounts and onboard business customers.
- Monitor reliability, prevent misuse, troubleshoot faults and maintain audit records.
- Communicate about services, support, security and operational changes.
- Comply with legal obligations and protect REC, our customers and users.
- Improve our services using appropriately controlled operational information.
6. Legal grounds
Depending on the context and applicable law, we process personal information to perform a contract, take steps requested before entering a contract, pursue legitimate business interests, comply with legal obligations, protect vital or legal interests, or act with consent. Where REC processes information for a business customer, the customer is responsible for establishing an appropriate lawful basis and providing required notices to its users.
7. WhatsApp and Meta services
REC-AI Connect may integrate with the WhatsApp Business Platform provided by Meta. To provide this service, information may be transmitted to and from Meta and WhatsApp, including telephone numbers, WhatsApp identifiers, message content, message status and related metadata. Meta and WhatsApp process information under their own terms and privacy policies where they act independently.
REC accesses a customer’s WhatsApp Business assets only after the customer authorises access through Meta’s approved onboarding process. Access is limited to the permissions and purposes required to provide the contracted service. Customers may revoke authorised access through their Meta business settings or by contacting REC.
8. Artificial intelligence and automated processing
REC-AI services may use artificial intelligence to understand requests, generate responses, transcribe voice, classify conversations, summarise interactions or trigger customer-approved workflows. AI-generated output may be reviewed or corrected by authorised users. REC does not make decisions producing legal or similarly significant effects about individuals solely through automated processing unless clearly disclosed and lawfully authorised.
9. How information is shared
We may share information only as needed with:
- The REC customer responsible for the relevant communication or service.
- Meta and WhatsApp when providing WhatsApp Business Platform functionality.
- Cloud hosting, communications, artificial intelligence, database, security, monitoring and support providers acting under appropriate contractual or confidentiality obligations.
- Professional advisers, regulators, courts, law enforcement or other parties where required by law or necessary to establish, exercise or defend legal claims.
- A successor organisation in connection with a legitimate merger, acquisition, financing or transfer of business, subject to appropriate safeguards.
REC does not sell personal information or disclose it for unrelated third-party advertising.
10. International processing
REC is based in Trinidad and Tobago, while some service providers and communication platforms operate internationally. Information may therefore be processed in other countries. Where required, we use contractual, organisational and technical safeguards appropriate to the information and the destination.
11. Retention and deletion
We retain personal information only for as long as reasonably necessary to provide services, meet contractual and support obligations, maintain security and audit records, resolve disputes and comply with law. Retention periods vary according to the type of information, the customer’s configuration and legal requirements.
When a customer ends a service, REC deletes or returns customer personal information in accordance with the service agreement and applicable law, except for limited records that must be retained for legal, security, backup or dispute-resolution purposes. Backup copies are removed through normal backup rotation.
12. Security
We use administrative, technical and organisational safeguards designed to protect personal information, including access controls, authentication, encryption in transit where supported, network protections, logging, restricted service credentials, backups and incident-response procedures. No method of transmission or storage is completely secure, but we continuously review safeguards in proportion to the risk.
13. Your choices and rights
Subject to applicable law, you may ask to access, correct, update, restrict, object to, export or delete personal information, or withdraw consent where processing relies on consent. You may also complain to an applicable data-protection authority.
If your information was processed for a business using REC-AI, contact that business first because it normally controls the information. REC will assist our customer with verified requests as required. Requests sent directly to REC may be submitted to info@rec-ai.net. We may need to verify your identity before acting.
14. Children
Our website and services are intended for businesses and are not directed to children. We do not knowingly collect personal information directly from children without appropriate authorisation. If you believe a child’s information has been provided improperly, contact us so we can investigate and take appropriate action.
15. Third-party links and services
Our website or services may link to third-party websites or platforms. Their privacy practices are governed by their own notices, and REC is not responsible for those independent practices.
16. Changes to this policy
We may update this policy as our services, providers or legal obligations change. The current version will be published on this page with the effective and last-updated dates. Material changes may also be communicated through appropriate customer channels.
